Applicant & Volunteer Privacy Notice

1. Who this notice is for
This notice explains how TriCities Board handles personal information when you apply for a job posted by a business listing, or apply to volunteer for an organization opportunity on tricitiesboard.org. It supplements our Privacy Policy.
This notice is not legal advice. TriCities Board and the listing owner each process application information for their own purposes as described below.
2. What we collect
- Contact and identity details you provide or that are already on your account (for example name, email, phone, city).
- Application content: cover message, resume or file links you upload, availability, and other answers you submit.
- Consent records (that you agree to share the application with the listing owner and that you have read this notice).
- Technical metadata needed to operate the feature (timestamps, related listing IDs).
3. Why we collect it and who receives it
We collect this information to deliver your application to the business or organization that posted the role, to notify them, to show you confirmation, and to operate and secure the platform.
Your application is shared with the listing owner and any team members they authorize to manage hiring or volunteer applications for that listing. TriCities Board staff may access applications for support, abuse prevention, or legal compliance.
We do not sell application data. We do not ask for your pay history on business job application forms.
4. Retention and deletion
We retain applications while needed to provide the service and for a reasonable period afterward for dispute resolution and security, then delete or anonymize them according to our retention practices. You may request deletion of your account data via https://tricitiesboard.org/data-deletion or admin@tricitiesboard.org. Listing owners may retain copies they downloaded or received by email under their own policies — contact them directly about those copies.
5. Your choices
- You can choose not to apply. Applying requires the consents shown on the form.
- You may update account profile fields in Profile Settings.
- Under applicable privacy laws (including PIPEDA and, where applicable, British Columbia's PIPA), you may request access, correction, or deletion subject to legal exceptions.
